One dashboard answers "which site needs me today?". Summary cards show active sites, learners, attendance, assessments, fees, payroll, staff and aftercare across the group, with a per-site breakdown and a group total. No more juggling logins and spreadsheets.
Know which site needs attention today
The site-status table colours each school green, amber or red against thresholds you set, for attendance, fees, assessments, late pickups and staff. A site without enough data shows "not enough data", never a false green, so you catch a slipping school while there is still time.
Group totals, with finance and payroll kept safe
Finance roll-ups are read-only summaries, billed, received, outstanding and overdue per site with a group total, never a merged ledger and never a place money can move. Payroll shows status and approved totals only: no employee names, salaries, bank details, tax numbers or payslips at group level, ever.
Give each manager exactly the right access
Invite people by email, give each a group role, and choose which sites they can see. Group roles, owner, admin, operations, finance viewer, payroll viewer, regional manager and read-only, work at group level only and never open a school. Group sites into regions so a regional manager sees just their area.
One Snapshot across every school
Download a consolidated Group Snapshot PDF, or per-area reports as PDF, Excel or CSV, scoped to the sites you are assigned to and the data your role allows. Every report carries a data-coverage line and every export is recorded in an immutable group audit log.

What owners should know about group oversight
Consent on every link, POPIA-aligned
A school only joins your group after its own owner or admin approves the link inside EarlyTrack. Nothing is shared before that, and a school can be removed at any time. That approval is your record of authorisation.
Read-only by design
Group screens show summaries only. You cannot create, edit, approve or pay anything from the group, so oversight can never accidentally change a school's records. To act, you open the school with your own permissions.
Each school stays fully separate
Every school remains its own isolated tenant, with its own learners, parents, staff, billing, payroll, branding and permissions. The group is a layer above the schools; it never merges one school's data into another.
An immutable group audit log
Site links, user roles and scope, region and threshold changes, billing and exports are all recorded in a group audit log that cannot be edited from the screen, separate from each school's own history.
