Three daily report formats, one plan
Baby Daily Reports for infant and toddler classes, covering feeding, sleep, nappies, mood, photos and medication. Little Learners Daily Reports for older preschool and Grade R, a light comment plus up to ten photos. Neurodiverse Daily Reports for schools supporting neurodiverse children, covering nappies and toilet-training, food, emotion regulation and therapy visits.
Approved before parents see it
Every format runs through the same approve-before-publish workflow and lands in the parent portal in its own section.
The whole school, including the money side
Complete is everything in Pro plus aftercare, the full finance suite and payroll. It is the plan for schools that want fees, banking and salaries in the same system as assessments and attendance.

Fees, finance operations and petty cash
Automated billing runs, combined family invoices, EFT reference numbers, online fee payments through your own Yoco or PayFast account, debtor ageing, bank reconciliation, supplier and expense management, petty-cash boxes with counts, and the AI Finance Assistant.
Xero Sync and General Ledger
Live Xero sync of invoices and payments, automatic corrections, a nightly consistency check, a full General Ledger with double-entry journals, trial balance, income statement, balance sheet and a controlled year-end close.
Payroll
Monthly, fortnightly and weekly pay runs, BCEA payslips, SARS PAYE, UIF and SDL, EMP201 returns, IRP5 and IT3(a) certificates, leave-to-payroll integration and the AI Payroll Assistant.

One read-only dashboard across every school you run. Billed at group level: R799/month for the first site plus R299/month per additional site, up to three sites.
Standalone after-school care, without the preschool modules
The Aftercare Edition is for centres that run after-school care on its own. You get the full aftercare workflow plus fees, invoicing and finance operations, without the assessment engine.

Priced per school, not per user
You pay one subscription for your entire school. Need extra capacity? Add individual student seats at R25/mo or teacher seats at R59/mo. On the Complete plan, extra student seats raise the preschool limit; aftercare capacity is fixed at 120.
Parents are never billed
Parents access the portal as part of your school's subscription. They do not receive billing notices or payment requests from EarlyTrack.
Annual billing saves two months
Every plan is available on a monthly or annual basis. Annual billing is equivalent to paying for ten months and getting two free.
Cancellation and data export
Cancel at any time. Your data remains accessible during the grace period and you can export a full copy before the account closes.
